How to Bulk Update Active Web Orders
The update orders bulk update from file functionality is a powerful tool that can help you make adjustments to existing orders. The tool allows the farm admin to remove items from existing web orders for example in case of inventory shortage, or update quantity or add new items to members.
The tool is simple to use but needs careful attention as bulk updates are risky and can cause issues when used incorrectly.
The first step is to prepare the CSV file with member and item details. You can download a template below.
The required information in the file:
EMAIL - The member email you would like to adjust his order
ITEM - The exact item name as presented in your items list
QUANTITY - The new quantity you would like the item to be in this member order. If you wish to remove an item from order you need to set the Quantity to 0. If you wish that the member will have 2 units, then you set the quantity to 2. It doesn't matter how many items the member had before, the tool will set the new quantity according to the amount specified in file.
When the file is ready and saved in CSV format you can upload it.
Go to Items list, click on Bulk update from file and select the update orders option.
If the update is completed successfully you'll get a message on the amount of updated orders. If there was an error you'll get a message specifying the invalid information that should be corrected.

Best Practice Tips
1. There is no limit to the number of members you can update in one file, but you can update only one item per member in a file. If you wish to adjust more than one item for member order, you'll need to do it in 2 separate files.
2. The item name must exactly match the name in the system. In case of item variation, the name of the specific variation with the unit quantity and unit type should be set in the file. e.g. 'Cheese (4.0 Oz)' or 'Cheese (6.5 Oz)' are variation names. If you'll set the file 'Cheese' only it will adjust the main item and not the specific variation.
3. The tool is adjusting the existing member web order. In case a farm is set to allow multiple web orders and a member has 2 existing web orders, the tool will adjust the next delivery date's order.
4. If a member without a web order is set with item quantity, the tool will create for the member a new web order with the specified item and amount. The order is created for the upcoming member subscription next delivery date.
5. The tool takes care of any additional adjustments required when adjusting a web order. For example if there is a payment attached to the order, the payment amount will be adjusted, the item's inventory is adjusted, if there is any credit balance it will be also adjusted.
6. Member communications- You don't need to email members individually to notify them of the switch. There are tools in the dashboard to email groups of members. Try to filter the group of members you would like to adjust by using the web store orders filter. E.g all members with specific item and location with order in date. Then export the list and copy the list of emails to your file. You can then also send a mail to the same filtered list of members, rather by using the filtered list or copy the list of emails from your file to the filter by email option
